AI-Powered Coaching: Innovative, secure, and compliant with the EU AI Act In modern HR development, speed and individual reflection are crucial competitive advantages. For you as an HR professional, it's important to know: Protecting your employees and complying with European standards are top priorities for this tool. Security: Full compliance with the EU AI Act Regulation (EU) 2024/1689 (the "AI Act") sets strict requirements for HR systems. My coaching system was designed to meet all relevant requirements: Security through active risk management My coaching system features a systematic risk management system that minimizes potential risks in advance. A key component is the protection of users' physical and mental health: Prevention of misuse (Art. 9): Although the system is designed for employee development, in accordance with the EU AI Act, we also address "reasonably foreseeable misuse," such as use for medical purposes. Automatic doctor referral: Should a user ask the AI about medical issues, the system is programmed through "safe design" to consistently refuse medical advice. Instead, it automatically prompts the user to consult a qualified physician. This ensures that the AI is never misused as a substitute for professional medical help and that the health of your employees remains protected. No emotion recognition (Art. 5): The EU AI Act prohibits the use of AI to derive emotions in the workplace based on biometric data. My system consistently avoids any form of biometric analysis (such as voice or facial recognition). It is a purely text-based exchange that fully respects user privacy. Users can voluntarily enter information in chats and are asked not to share sensitive information with the AI (employee ID number, etc.). This information will be processed if provided. Maximum Transparency (Art. 50): All users are clearly informed at the beginning and during each interaction that they are communicating with an AI. Deception regarding the identity of the reflection partner is impossible. Human Supervision (Art. 14): High-risk AI systems in HR require effective human supervision. As your coach, I retain full control. I monitor the quality and security of interactions via automated logs to be able to intervene at any time. Data Protection and Confidentiality Alias Procedure: To protect employee identities, users operate under an alias. Exclusive Access: Information from coaching sessions is subject to my professional confidentiality. No third party—not even the HR department or management—has access to individual chat content. Data Governance (Art. 10): Processing is carried out in compliance with strict European data protection standards (GDPR). Chats are deleted upon request, and the timestamp logs are legally required to be securely stored for 6 months for traceability purposes. Deletion requests must be submitted in writing via email (see data protection policy). If you use our AI-supported coaching in your company, you remain responsible for the legal framework governing employment law and data protection. Information Obligation: Companies are responsible for informing employees and, if applicable, the works council about participation in the coaching and the processing of personal data. These contain clear guidelines on how artificial intelligence should be integrated into professional coaching. The framework outlines principles relating to ethics, confidentiality, transparency and client security. It emphasises that AI should complement, but not replace, the human relationship at the heart of coaching.
